1. Who we are
Urban Piping Ltd. ("Urban Piping", "we", "us") operates the Urban Piping app — a private business tool used by Urban Piping staff, contractors, and customers to manage estimates, scheduling, jobs, and related plumbing and drywall work in Alberta and British Columbia, Canada. This policy explains what personal information the app collects, why, and your choices. Questions: info@urbanpiping.com.
2. Information we collect
Account information: your name, email address, phone number, and role.
Customer and job information: service address, estimate and job details, notes, and deposit status.
Photos: job-site and estimate photos you take or upload in the app, stored privately on our behalf.
Device access you grant: camera and photo library (to add photos), Face ID / biometrics (to unlock the app — this is handled by your device and never collected by us), and calendar (only if you choose to add your jobs to your calendar).
Usage and diagnostics: basic product-usage events and crash/error reports, which may include your user ID and email so we can support your account.
3. How we use your information
To provide and operate the app — sign-in, estimating, scheduling, job management, and customer communication.
To process the deposit payment you choose to make (card details are handled by our payment processor; we do not store full card numbers).
To provide support and respond to your requests.
To keep the app reliable and secure, and to improve it using aggregate usage and crash diagnostics.
4. How information is shared
We do not sell your personal information. We share it only with service providers who help us run the app, under agreements that limit how they may use it:
Hetzner (secure hosting), Cloudflare (private file storage), SendGrid (transactional email), Helcim (deposit card processing, Canada), and PostHog and Sentry (product analytics and crash reporting, United States).
We may also disclose information where required by law.
5. Where your information is stored
App data is hosted on secure servers, with files kept in private storage. Some providers (PostHog, Sentry) process limited data in the United States. We use providers that contractually commit to protecting your information.
6. How long we keep it
We keep your account and job information for as long as your account is active and as needed to provide the service and meet legal and accounting obligations. When you delete your account, after a 7-day cancellation window we remove your sign-in and personal contact details (email, phone, and profile photo) and deactivate the account. Business records — the jobs you worked and any payment records — are retained by Urban Piping for accounting and recordkeeping. Routine backups are rotated and expire on a rolling schedule.
7. Your choices and rights
You can view and update your name, email, and password in the app's Profile settings.
You can delete your account in the app (Profile → Delete account). After a 7-day cancellation window, your sign-in and personal contact details are removed and the account is deactivated; business records you are part of (jobs worked and payment records) are retained for accounting and recordkeeping.
To request a copy of your personal information, or to ask a privacy question, email info@urbanpiping.com and we will respond within 30 days.
8. Security
We protect your information with encryption in transit (HTTPS/TLS), private (non-public) file storage, access controls, and signed-in access only. No system is perfectly secure, but we work to safeguard your data and will notify you and the appropriate authorities of a breach as required by law.
9. Children's privacy
The Urban Piping app is a business tool intended for adults. It is not directed to children, and we do not knowingly collect information from anyone under 13.
10. Changes to this policy
We may update this policy from time to time. Material changes will be reflected here with a new effective date.
